Privacy Policy

myServiceBiz System ("we") runs myServiceBiz System, a workspace for service businesses to prepare quotes, bookings, contracts, and invoices. This policy explains what personal information we handle, why, and the choices you have. We follow the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules.

Two kinds of information

Your account. Your email address, password (stored only as a secure hash), workspace name, business details, logo, and signature. For this information we are the personal information controller.
Your workspace records. The clients, contacts, quotes, bookings, payments, expenses, and notes you and your team enter. Your business decides what goes in and is the controller; we process it only to run the service for you, as your personal information processor.

What we collect

Account details: email address, sign-in history, and two-step login settings if you turn them on.
Workspace content you enter, including your clients' names, phone numbers, emails, and event details.
Billing details: your plan, billing interval, and payment status. Card and e-wallet details are entered on PayMongo's page and never reach our servers.
Technical data: server error reports and request logs, with passwords, tokens, emails, phone numbers, and free text removed before they are stored.
Text you paste into Smart Paste is sent to an AI model to draft a quote and is not kept by us after the draft is made.

Why we use it

To provide the service: sign you in, store your records, make PDFs, and keep your team in sync (contract).
To bill for your plan and send renewal reminders (contract).
To keep the service secure, prevent abuse, and fix errors (legitimate interest).
To meet legal duties such as tax and accounting records (legal obligation).

We don't sell personal information or use your workspace records for advertising.

Who we share it with

We use these service providers, each bound to protect the data and use it only for our instructions:

Supabase: database, sign-in, and file storage (Singapore region).
Vercel: hosting the app.
PayMongo: processing subscription payments.
Google: Gemini AI for Smart Paste, and Google Calendar if your workspace connects it.
Our email delivery provider: sign-up, password reset, and billing emails.
Sentry: error reports, with personal details removed.
Our encrypted off-site backup storage.

Some providers store or process data outside the Philippines. We choose providers with strong security and contractual safeguards.

How long we keep it

Account and workspace data: while your workspace is active.
When an owner deletes a workspace, it is permanently erased after a 14-day grace period.
Encrypted backups roll off automatically: daily copies after 30 days and monthly copies after about 13 months.
Server logs: up to 30 days. Billing records: as long as tax law requires.

How we protect it

Every workspace is isolated in the database, connections are encrypted, signatures are stored privately, backups are encrypted, and access to production systems is limited and protected by two-step login. Workspace owners can turn on two-step login for their own accounts.

Your rights

You have the right to be informed, to access, to correct, to object, to have data erased or blocked, to data portability, and to be compensated for damages, as the Data Privacy Act provides. Workspace owners can download all workspace data and delete the workspace from Settings → Data. For requests about a business's records about you, contact that business first; we will help them respond.

You may also file a complaint with the National Privacy Commission (privacy.gov.ph).

We use only the cookies needed to keep you signed in and remember your theme. No advertising or tracking cookies.
